The gap

What ChatGPT Team gives you, and what it still leaves to each person

OpenAI's Team plan shares a workspace and a bill for ChatGPT itself. It does not organize anyone's sidebar, share a prompt set, or show a manager how the seats are used, and it stops at ChatGPT.

In practice each member still scrolls a flat list of chats, retypes the brief prompt a colleague already perfected, and files nothing. Managers see an invoice, not adoption. When someone leaves, their prompts and structure leave with them. Add Gemini, Claude or Grok to the mix and there are now three or four of everything.

AI Toolbox Teams sits on top of whatever OpenAI plan the team has (Free, Plus, Team or Enterprise) and on the other three platforms. Why it matters

Here is what a team cannot do with ChatGPT alone:

  • Share a prompt library. Custom instructions and GPTs are per person; there is no team-wide set of approved prompts that appears in everyone's compose box.
  • See adoption. OpenAI's admin view manages seats and billing; it does not show messages, sessions or active members per week.
  • Organize the sidebar. Projects group chats one level deep with no pins, folder tree or full-text search inside them.
  • Cover four AI platforms on one bill. A team using ChatGPT and Claude or Gemini pays and administers each one separately.

How does Teams billing work?

One subscription for the whole team: $15/seat/month or $12/seat/month billed annually, minimum 2 seats, with volume rates from 10 seats that apply to every seat. Every subscription starts with a 14-day free trial at checkout; the first charge lands when it ends. Add seats with prorated billing, remove them at the next renewal, and switch monthly to annual from the billing portal.

Are folders shared across the team?

No. Folders, pins and conversations belong to each member and stay in their own browser; a manager cannot open a colleague's sidebar. What Teams shares is the prompt library your admins and editors curate, which appears in every member's compose box on all four platforms.

Does Teams work with the free ChatGPT plan, or do we need ChatGPT Team?

It works on top of any OpenAI plan: Free, Plus, Team or Enterprise. AI Toolbox is a browser-extension layer, so it does not change which models or limits your ChatGPT accounts have, and the same seat covers Gemini, Claude and Grok.

What can the admin see about how members use it?

Aggregate counts only: messages, sessions, active members, characters and active days, plus who has gone quiet. Conversation content is never sent to our servers, so there is no message text to see. AI Toolbox is GDPR compliant.

What happens when someone leaves the team?

Remove them from the Seats page. They drop to the free plan at once, their data is preserved, and they can buy an individual Premium plan later. The seat is free for the next invite, and the change takes effect on billing at the next renewal.

Which browsers can the team use?

Any Chromium browser installed from the Chrome Web Store: Chrome, Edge, Brave, Opera and Arc. There is no Firefox version.
