The gap
Gemini has a title-matching sidebar search, pinned chats, Gems and Google Takeout. None of them answer the question a researcher actually asks six months in: where did I write about this?
Research in Gemini accumulates as prose. A literature review is fifty chats of summarising and challenging papers; interview analysis is a chat per transcript; a Deep Research run produces a long cited report you will want to quote later. All of it lands in one recency-ordered list, titled by whatever you typed first, with no folders, no tags and no way to search what was said.
The workaround most people reach for is copying answers into a Google Doc so they can find them again, which duplicates the corpus and goes stale immediately. Advanced filters
Exact match pins down a phrase you know you used, which is what makes a direct quotation retrievable. The Questions and Answers pills split your prompts from Gemini's replies, so you can audit exactly what you asked during coding or keep only the analysis. Past week, month and year plus a custom range map onto reading, fieldwork and write-up phases. The Advanced panel is Premium; plain full-text search is free.
Folders
Manage Folders holds conversations in a tree with counts and breadcrumbs, filed by searching a chat's name rather than dragging, and a whole folder exports as one archive when the paper ships. Free covers two root folders with unlimited subfolders, which is enough for a project and its phases; Premium removes the cap and adds bulk move from Manage Chats.
Bookmarks
Bookmark any Gemini message with a note and one of six colour labels, one per theme or construct. The panel lists them with their conversation titles and reopens the chat scrolled to that message, so a citation keeps its context instead of becoming an orphaned paragraph in a notes document. Export
Any conversation exports from Manage Chats as PDF, Markdown, JSON or TXT. Markdown carries YAML frontmatter with title, dates and source URL, which drops cleanly into Obsidian or a Zotero note; JSON gives a coding tool the raw messages; PDF is the shareable record. Free exports as TXT; the other formats, bulk export and findings export are Premium.

AI Toolbox indexes every message in your history in the browser, so a construct, an author name or a methodology returns each reply that mentions it, highlighted, with a link into the chat and a count per conversation. Press Cmd+Shift+F on Mac or Ctrl+Shift+F on Windows anywhere on gemini.google.com. The free plan returns 5 results per query; Premium returns all of them.
Turn on Exact match in the Advanced panel and paste the phrase. Without it a search is token-based and a distinctive sentence gets lost among near matches, which is the usual reason a quotation feels unfindable. Advanced also adds Questions or Answers pills, past week, month and year plus a custom date range, Must include and Exclude chips, and a Titles only switch. The Advanced panel is a Premium feature; a plain full-text query is free.
Yes, with the role filter in the Advanced panel. Questions keeps only what you asked, which is what an audit trail for qualitative work needs, and Answers keeps only Gemini's replies, which gives a clean record of the analysis without your scaffolding. Each result is labelled Q or A so the split stays visible in a mixed result set.

No. The search index, folders, tags, bookmarks and saved prompts live in your browser and every query runs locally, so conversation content is never stored on our servers. Only what you build in the extension syncs to your account, encrypted at rest. PDF export is the one exception: the conversation is rendered on our server and the file returned without a copy being kept. If you sign in to a second Google account the extension clears the previous account's local caches. AI Toolbox is GDPR compliant.
Gemini 3.1 Pro, 3 Flash and 3.1 Flash-Lite all accept up to 1 million tokens, so a long paper or a full transcript fits in one conversation. AI Toolbox does not change that limit.
