How to add seats and remove members in AI Toolbox Teams (for admins)
For admins. Open Seats in the Teams dashboard. The owner can change the number of seats in the Adjust Seats box, from 2 to 1,000, then click the confirm button. Owners and admins can click Remove in a member's row to take away their seat. Removed members go back to the free plan and keep their own data.
Step by step
Step 1: Open the Seats page
In the dashboard menu on the left, click Seats. On Overview, the owner can also click Add Seats.
You should see: A page that says Seat Management.
Step 2: Check how many seats are used
The Seat Usage box shows Active (people who joined), Pending (invites not accepted yet), Available (seats free for new invites) and Total.
You should see: The four numbers and a bar that shows how full your team is.
Step 3: Change the number of seats (owner only)
In the Adjust Seats box, click + to add a seat or the minus button to remove one. You can also click the number and type it. The price line under it updates as you go. The minus button stops at the seats in use: active members plus waiting invites.
Admins don't see this box. Only the owner can change seats.
You should see: The button under the price changes from No changes to Confirm and your new number, for example Confirm 8 seats.
Step 4: Confirm the new seat count
Click the Confirm button. The new seat count applies right away, and our payment company adjusts your bill for the change. You can see it later in the billing portal.
You should see: The message Seat count updated successfully and the new number under Total.
Step 5: Remove a member
Scroll down to Members. Find the person and click Remove in their row. A window asks if you are sure. Click Remove.
To take back a waiting invite, do the same on a row with the status Invited.
You should see: The message Member removed successfully. The person loses team Premium right away and their seat is free again.
Step 6: Give the free seat to someone else
Type a new email under Invite Member and click Send Invite. See Invite members.
You should see: The message Invitation sent successfully.

If something doesn't look right
It says You can't reduce seats below a number
Active members and waiting invites both hold seats, so you can't pick fewer seats than that. Remove waiting invites or members under Members first, then lower the seat count again.
I don't see Adjust Seats
Only the owner, the person who paid, can change the seat count. Ask the owner to do it.
Remove is grayed out, or it fails for an admin
Remove is grayed out on your own row and the owner's row, and while the plan is not active. On an admin's row it shows an error instead. First change their role to Editor or Viewer, then click Remove.
It says You've made too many changes
Removing people, changing roles and seats, opening the billing portal and editing the shared library all count toward an hourly limit. Wait an hour and try again.
Everything on the Seats page is grayed out
Changes are paused while the plan is not active, for example after a failed payment. The owner can fix it on the Billing page. See Billing.
Free and Premium
Only the owner can change the seat count. The owner and admins can remove members. Seats can't drop below active members plus waiting invites.

Questions people ask
How do I add more seats to my AI Toolbox team?
Sign in to the AI Toolbox Teams dashboard as the owner and click Seats. In the Adjust Seats box, click the plus button or type the new number, then click the Confirm button. The new seats are ready right away, and you can invite more people from the Invite Member box.
What happens when I remove someone from my AI Toolbox team?
They lose AI Toolbox Teams Premium right away and go back to the free plan. Their own folders, saved prompts and settings are kept, and their chats never leave ChatGPT, Claude, Gemini or Grok. Their seat becomes free, so you can invite someone else in their place.
Can admins change the number of seats in AI Toolbox Teams?
No. In AI Toolbox Teams only the owner, the person who paid, sees the Adjust Seats box and can change the seat count. Admins can still invite and remove members, change roles and manage the shared prompt library from the dashboard, but seat and billing changes stay with the owner.
Can I lower my AI Toolbox Teams seats below my member count?
No. AI Toolbox Teams won't let you set fewer seats than your active members plus waiting invites. Remove members or waiting invites first on the Seats page, then lower the seat count. The smallest team is 2 seats. An invite stops holding a seat when it is accepted, removed or expired.
Can I give a seat to a different person?
Yes. In the AI Toolbox Teams dashboard, click Remove on the current member's row in the Seats page and confirm. Their seat becomes free right away. Then type the new person's email under Invite Member and click Send Invite. There is no charge for moving a seat to someone else.
