How to see your team's usage in AI Toolbox Teams (for admins)

For admins. Open Usage in the Teams dashboard and click 7d, 30d or 90d. You see messages, sessions, active members, characters, active days and session time, each compared with the period before. The numbers come from ChatGPT only, and only for members whose ChatGPT login email matches the email you invited. It shows counts, never message text.

Step by step

  1. Step 1: Open the Usage page

    In the dashboard menu on the left, click Usage. On Overview, you can also click View full usage once you have closed the Get Started guide.

    You should see: A page that says Usage and Aggregate team statistics.

  2. Step 2: Pick a time range

    Click 7d for the last 7 days, 30d for the last 30 days, or 90d for the last 90 days. The page starts on 30d.

    You should see: The button you clicked is highlighted and the numbers update.

  3. Step 3: Read the six number boxes

    Messages and Sessions show how much your team used ChatGPT. Active Members shows how many people used it out of your whole team.

    Characters, Active Days and Session Time show how much was typed and read, on how many days, and for how long. Under each number you see the change from the period before.

    You should see: Six boxes with numbers. Once there is an earlier period to compare, each box also shows a short line such as No change.

  4. Step 4: Read the breakdown and tips

    Character Breakdown compares what your team typed with what ChatGPT wrote back. Insights gives short notes, for example when few people are using the tool.

    You should see: Two bars under Character Breakdown and one or more notes under Insights.

  5. Step 5: Check who is counted

    Usage only counts ChatGPT. Work on Claude, Gemini and Grok is not counted.

    A member is counted only when the email they use to sign in to ChatGPT is the same as the email you invited. Someone who invited a work email but uses ChatGPT with a personal email shows as not active.

    You should see: Active Members matches the people you expect. If not, see the fixes below.

If something doesn't look right

All the numbers are 0

Nobody on the team has used ChatGPT with AI Toolbox in that time, or their ChatGPT email differs from their invite email. Try 90d, and check that members have joined. If the page says No usage data available for this period., it could not load: reload the page.

A member uses AI Toolbox every day but shows as not active

Their ChatGPT login email is probably different from the email you invited, or they mostly use Claude, Gemini or Grok. Premium still works for them. Only the usage numbers miss them.

Today's numbers look low

AI Toolbox sends usage in batches every few minutes while ChatGPT is open, so the newest activity can take a while to appear. Click the refresh icon next to the range buttons.

Can I see what a member typed?

No. The dashboard only shows counts such as messages and sessions. Chat text stays in each member's browser and ChatGPT account.

The owner and admins can see usage. It is team totals only: no one can see what a member typed.

  • Ranges: last 7, 30 or 90 days, each compared with the period before.

Questions people ask

Can I see how my team uses ChatGPT?

Yes, with AI Toolbox Teams. The owner and admins open Usage in the Teams dashboard to see team totals for messages, sessions, active members, characters, active days and session time over 7, 30 or 90 days. It only shows counts. Nobody can read what a member typed.

Does AI Toolbox Teams usage include Claude and Gemini?

No. The AI Toolbox Teams Usage page counts ChatGPT activity only. Members still get full Premium on Claude, Gemini and Grok, but that work does not appear in the usage numbers. This is why the Overview page describes adoption as members who used ChatGPT this week.

Why does a team member show as inactive in AI Toolbox Teams?

AI Toolbox Teams matches usage by email. A member counts as active only when the email they sign in to ChatGPT with is the same as the email you invited. If they use a different ChatGPT email, or only use Claude, Gemini or Grok, they show as inactive even though Premium works.

Can admins read team members' chats in AI Toolbox Teams?

No. AI Toolbox Teams usage shows only team totals such as messages, sessions and time. Chat text stays in each member's browser and their own AI account and is never stored on AI Toolbox servers. There is no per-person view and no way to read anyone's conversations.

What does Active Members mean in AI Toolbox Teams?

In the AI Toolbox Teams Usage page, Active Members shows how many members used ChatGPT with AI Toolbox during the range you picked, out of everyone who joined. The percentage under it is your adoption rate, and it is highlighted when fewer than half of your members are active.
