How to invite people to your AI Toolbox team (for admins)

For admins. In the Teams dashboard, click Seats, type your teammate's email under Invite Member and click Send Invite. They get an email with a button to join, which works for 7 days. Every new member starts as a Viewer. A pending invite holds a seat, so you can't invite more people than you have free seats.

Step by step

  1. Open the Seats page

    In the dashboard menu on the left, click Seats. You can also click Invite Member on Overview.

    You should see: A page that says Seat Management, with boxes called Seat Usage, Invite Member and Members.

  2. Make sure you have a free seat

    Look at Seat Usage. It shows Active, Pending, Available and Total seats.

    Pending counts invites that are waiting to be accepted. Each one holds a seat for up to 7 days. Available is what is left for new invites.

    You should see: Available shows 1 or more. If it shows 0, the owner can add seats (see Seats and members).

  3. Type the email and click Send Invite

    In the Invite Member box, type your teammate's email address. Use the address they will read the invite at. Click Send Invite.

    You should see: The message Invitation sent successfully. A new row appears under Members with the status Invited and the role Viewer.

  4. Tell your teammate what to expect

    They get an email with the subject "You've been invited to" followed by your team name and "on AI Toolbox". It has an "Accept Invitation" button and works for 7 days.

    Ask them to install AI Toolbox first, then open the email in that same browser. Send them Accept your team invite.

    You should see: Once they join, their status changes from Invited to Active and a date shows under Joined. Click the refresh icon next to Members to update the list.

  5. Resend an invite if it got lost

    If the invite expired, the person's row shows Expired for a short while and then leaves the list. In both cases, just type the same email under Invite Member and click Send Invite. You don't need to remove anything.

    If the row still says Invited, there is no resend button. Click Remove in that row and Remove again in the window that opens. Then send the invite again. A new link with a fresh 7 days goes out.

    You should see: The message Invitation sent successfully.

  6. Give them the right role after they join

    Everyone starts as a Viewer. The role menu stays locked until the person accepts. After that, choose Admin, Editor or Viewer in their row. See Team roles.

    You should see: The message Role updated successfully.

If something doesn't look right

It says all seats are in use or pending

Every seat is taken by a member or a waiting invite. Expired invites don't count. Click Remove on a waiting invite you no longer need, or ask the owner to add seats under Adjust Seats. Then send the invite again.

It says An invitation has already been sent to this email address

That person already has a waiting invite that has not expired yet. To send it again, click Remove on their invited row, confirm with Remove, then click Send Invite again.

It says This person is already a member of another organization

One email can only be on one AI Toolbox team. The person must be removed from their other team first, or you can invite a different email address for them.

It says You've sent too many invitations

You can send about 20 invites an hour. Wait an hour, then send the rest.

The invite box is grayed out

Invites are paused while your plan is not active, for example when a payment failed. The owner can fix this on the Billing page. See Billing.

My teammate can't find the invite email

Ask them to look in spam and search for AI Toolbox. If it is still missing, remove the invite and send it again, and double check the spelling of the address.

Free and Premium

The owner and admins can invite. Each person who joins uses one seat and gets every Premium feature on ChatGPT, Claude, Gemini and Grok.

  • Invites work for 7 days. An expired invite no longer holds a seat. It shows an Expired badge, then leaves the list, and you can simply invite the same email again.
  • A waiting invite holds a seat, so members plus waiting invites can't go over your seat count.
  • New members always start as a Viewer. You can change the role after they join.
  • One email can be on only one AI Toolbox team at a time.
  • Invites are paused while the plan is not active.

Questions people ask

How do I add people to my AI Toolbox team?

Sign in to the AI Toolbox Teams dashboard, click Seats, type the person's email under Invite Member and click Send Invite. They get an email with an Accept Invitation button. When they click it in the browser where AI Toolbox is installed, Premium turns on for them and they join your team.

How long does an AI Toolbox Teams invite last?

An AI Toolbox Teams invite works for 7 days. After that the link shows an expired message, and the invite stops holding a seat. On the Seats page it shows an Expired badge, then leaves the list. To send a new one, type the same email under Invite Member and click Send Invite.

Can I invite more people than I have seats?

No. In AI Toolbox Teams, every waiting invite holds a seat until it is accepted, removed or expired after 7 days. When members plus waiting invites fill every seat, the dashboard stops new invites. Remove an invite you no longer need, or have the owner add seats under Adjust Seats first.

How do I resend an AI Toolbox Teams invite?

AI Toolbox Teams has no resend button. If the invite expired, type the same email under Invite Member and click Send Invite. If it is still waiting, click Remove on that row, confirm, then send it again. Either way they get a fresh 7-day link.

What role does a new AI Toolbox team member get?

Every new AI Toolbox Teams member starts as a Viewer, which means full Premium and read-only team prompts. The role menu is locked until they accept the invite. After that, an owner or admin can make them an Editor or an Admin from the Members list on the Seats page.
