How to fix common AI Toolbox Teams problems (for admins and members)
For admins and members. Most Teams problems have a quick fix. An expired invite needs a new invite from your admin. Team session expired means you need a new sign-in link, because each seat works in 2 browsers at once. A missing sign-in link usually means the invite was never accepted. Too many changes means waiting an hour.
Step by step
Step 1: Get a new invite when yours expired
Members: if the invite page says This invite link has expired. Please ask your admin to send a new invite., ask your admin for a new invite. Invites work for 7 days.
Admins: on Seats, type the person's email under Invite Member and click Send Invite. An expired invite doesn't need to be removed first.
You should see: A new invite email for the member, and Invitation sent successfully for the admin.
Step 2: Fix a different email address message
If the page says This invite was sent to a different email address. Please check the link and try again., open the invite straight from the email. Don't copy or retype the link.
If it still shows, the invite went to a different address. Ask your admin to check the spelling and send a new invite. If the page instead says your email already belongs to another AI Toolbox team, ask that team's admin to remove you first.
You should see: The page says you've joined your team.
Step 3: Leave your other team first
Admins: if Send Invite says "This person is already a member of another organization.", that email is active on another AI Toolbox team.
Ask the person to have the other team remove them, or invite a different email for them.
You should see: The invite goes through with Invitation sent successfully.
Step 4: Sign in again after Team session expired
Members: a dark box at the bottom of the AI site that says Team session expired means this browser lost your seat. Each seat works in up to 2 browsers at once, and signing in on a third one signs out the oldest.
Click Sign in in the box. On the page that opens, type your team email and click Email me a sign-in link. Open the link in this browser within 15 minutes.
You should see: The page says your team seat is active, and the AI site shows TEAM again after a reload.
Step 5: Accept your invite before asking for a sign-in link
Sign-in links only go to people who already joined. If you never clicked the button in your invite email, no link arrives, even though the page says one is on its way.
Find the invite email and click "Accept Invitation". If it expired, ask your admin for a new one.
You should see: The page says you've joined your team.
Step 6: Wait out a too many message
Admins: "You've made too many changes. Please wait an hour before trying again." means you hit the hourly limit for removing people, changing roles or seats, opening billing and editing the library. "You've sent too many invitations. Please wait an hour before sending more." is the same for invites. Wait an hour.
Members: Too many attempts, please try again in a few minutes. on the invite page means many people on your network accepted at once. Wait a few minutes and click the button in your invite email again. Your invite still works.
You should see: The action works after the wait.

If something doesn't look right
It says No seats available in this organization
Every seat is taken, and this invite was cancelled. Ask your admin to free a seat or ask the owner to add seats under Adjust Seats, then send you a new invite. The old link no longer works.
It says This invite link is no longer valid
The invite was already used, or the admin removed it. If you already joined, get a sign-in link at ai-toolbox.co/teams/member instead. If not, ask your admin for a new invite.
My Premium stopped and there was no banner
You were probably removed from the team, or the team's plan ended. You are back on the free plan and your own data is kept. Ask your admin whether you still have a seat.
The dashboard shows a payment or cancelled banner
While the plan is past due, paused or cancelled, invites, removals, role changes and library edits are paused. The owner fixes it on the Billing page. See Billing.
I have no Team prompts tab even though I joined
Reload the AI site. If it is still missing, AI Toolbox in this browser may not have your seat. Get a sign-in link at ai-toolbox.co/teams/member and open it here.

Some fixes are for members and some need the team owner or an admin. Each step says who does it.
- Invites last 7 days and work once. Sign-in links last 15 minutes and work once.
- Each seat works in up to 2 browsers at the same time.
- One email can be on only one AI Toolbox team.
- Sign-in links are only sent to members who already accepted their invite.
- Admin changes and invites each have an hourly limit.
Questions people ask
Why does my AI Toolbox Teams invite say it expired?
AI Toolbox Teams invites work for 7 days. After that the page says the link has expired. Ask your admin for a new one. The admin types your email under Invite Member on the Seats page and clicks Send Invite, with no need to remove the old one. You get a fresh email with a new 7-day link.
Why does AI Toolbox say Team session expired?
Each AI Toolbox Teams seat works in up to 2 browsers at once. Signing in on a third browser signs out the oldest, which then shows Team session expired. Click Sign in on that box, request a sign-in link at ai-toolbox.co/teams/member, and open it in that browser.
Why didn't I get an AI Toolbox Teams sign-in link?
AI Toolbox Teams only sends sign-in links to members who already accepted their invite, and the page always says a link is on its way to protect privacy. If you never clicked Accept Invitation, find your invite email and click it. Also check spam and that you typed your team email.
Can I be on two AI Toolbox teams at once?
No. One email address can be active on only one AI Toolbox team. If you are invited to a second team, the admin sees a message that you are already a member of another organization. Ask the first team to remove you, or join the second team with a different email.
Why does the AI Toolbox Teams dashboard say too many changes?
The AI Toolbox Teams dashboard limits how many changes an admin can make per hour. Removing members, changing roles and seats, opening the billing portal and editing the shared library all count. Wait an hour and try again. Editors and admins can add many team prompts from the extension instead.
