How to save and reuse prompts in ChatGPT

AI Toolbox lets you save prompts you use often and put them in the ChatGPT message box in one click. Open Manage Prompts, click Add Prompt, and save your text. Then type // in the message box and click the prompt. The free plan saves 2 prompts. Premium saves unlimited prompts.

Step by step

  1. Step 1: Open Manage Prompts

    Look at the bottom-right corner of ChatGPT. There is a round AI Toolbox button. Move your mouse over it and a few small round buttons fan out. Hold your mouse over each one to see its name, then click Manage Prompts.

    Another way: click the round button itself. A search box opens that says Search AI Toolbox features.... Type prompts and click Manage Prompts.

    You should see: A window called Manage Prompts with Prompts and Chains at the top.

    You can also open the search box with Cmd+K on Mac or Ctrl+K on Windows.

  2. Step 2: Click Add Prompt

    Near the top of the window, click Add Prompt. It sits between Settings and Prompt Library.

    You should see: A new window called Add Prompt with a Prompt Name box and a big box for the prompt text.

  3. Step 3: Write and save your prompt

    Type a short name in the Prompt Name box, for example Email reply. This name is what you will look for later.

    Pick a Category if you like. It starts on General. Then type the full prompt in the big box below. It can be up to 10,000 characters long.

    Click Add to save it.

    You should see: The message Prompt successfully added! and your prompt in the list.

  4. Step 4: Add blanks you fill in each time (optional)

    Some prompts change a little each time. Put the part that changes inside double curly braces, like {{topic}} or {{name}}.

    For example: Write a short email to {{name}} about {{topic}}. AI Toolbox will ask you for each value when you use the prompt.

    You should see: Your blanks in the prompt text. The hint under the big box starts with Tip: use double curly braces, which is a reminder of how blanks work.

    To change a saved prompt later, click the pencil icon on its row in Manage Prompts, edit it, and click Update.

  5. Step 5: Type // in the ChatGPT message box

    Close the window with the X in its top-right corner. Click in the ChatGPT message box, where you normally type your question, and type two slashes: //.

    Type // at the start of the box or after a space. You can type a word right after it, like //email, to narrow the list.

    You should see: A list of your saved prompts right above the message box. The prompts you used last show under Recently used.

  6. Step 6: Click the prompt you want

    Click a prompt in the list. You can also move with the arrow keys and press Enter or Tab.

    The prompt goes into the message box where you typed //. Anything you already typed stays. The prompt is not sent yet, so you can read it first.

    You should see: Your prompt text in the ChatGPT message box, ready to send.

  7. Step 7: Fill in the blanks and send

    If your prompt has blanks like {{topic}}, a window called Insert Dynamic Value opens first. Type a value next to each blank and click Insert.

    Check the text in the message box, then send it to ChatGPT as usual.

    You should see: The prompt in the message box with your words in place of each blank.

If something doesn't look right

Typing // does nothing

Type // at the very start of the message box or after a space, not stuck to a word. If the list still does not open, refresh the page. Then open Settings inside Manage Prompts, go to Prompts, and make sure Prompt tools is switched on.

The list says No saved prompts yet

You have not saved a prompt yet. Click Create your first prompt in that list. It opens Manage Prompts with the Add Prompt window ready, so you can save your first one right away.

A window says Save unlimited prompts

The free plan saves 2 prompts, and prompts you save from the Prompt Library count too. To make room, tick a prompt in Manage Prompts, click Delete, then click Confirm. Or upgrade to Premium for unlimited prompts.

My prompt was not sent to ChatGPT

That is on purpose. A saved prompt only goes into the message box, so you can check it or add to it. Press ChatGPT's send button when you are ready.

My text still shows {{topic}}

A blank you leave empty in the Insert Dynamic Value window stays in the text as it is. Type over it in the message box, or use the prompt again and fill in every box.

I can't find Manage Prompts in the round button

The small buttons can be changed, so yours may show other features. Click the round button itself, type prompts in the search box, and click Manage Prompts. You can also type // in an empty message box and click Create your first prompt.

The free plan saves 2 prompts. Fill-in blanks, the // list, copy, search and sorting are free. Premium saves unlimited prompts.

  • Free: 2 saved prompts. Premium: unlimited saved prompts.
  • Each prompt can be up to 10,000 characters. Prompt names can be up to 100 characters.
  • Blanks use double curly braces, like {{topic}}. A blank that appears twice in one prompt is asked once.
  • Saved prompts belong to your AI Toolbox account and also work in Claude, Gemini and Grok when AI Toolbox is turned on there.

What ChatGPT does on its own

ChatGPT has custom instructions. You write them once in Settings, and ChatGPT applies them to all your chats, for example your job or the tone you like. They are the right place for things ChatGPT should always know.

Saved prompts are for text you only need sometimes. You keep many of them, pick one when you need it, and fill in the parts that change. Nothing is added to a chat unless you choose a prompt.
